This is a guide and information center for Course Leaders.
How many Reps should my cohorts have?
Each year group of your course should have atleast 1 elected Course Rep, however it is reccomended that you have 2 (dependant on cohort size as stated below)
Conditions:
- There should be no higher than a 30:1 ratio for your Reps
- If your course has different teaching groups e.g Group A & Group B ect then atleast 1 Rep should be elected from each of the Groups
How can I elect the Reps?
In the starting weeks of your course you should look at electing your Reps for all of your year groups. Rep elections must be democratically decided by the students and cannot be handpicked by members of staff.
You can do polls on various applications, Microsoft Forms is probably one of the easier platforms to use for it, dependant on how many of your cohorts want to stand to be a Rep you may have a Approve / Disaprove poll (if only 1 volunteers) or alternatively, you can do a 'show of hands'. It is completely up to you how it's run.
When is the deadline for registration?
Whilst there is no official deadline to select and have your reps register, training is done in limited batches throughout the academic year to accomodate for cohorts that don't start in September such as Nursing / Healthcare courses that may have more than 1 start date for students.

A Rep has stepped down, been removed or has left University what do I do?
If a vacancy becomes available, you must try to elect a replacement rep as soon as possible (unless it doesn't clash with the conditions listed above). We request that you inform us of the Rep stepping down as soon as possible via email with their student ID listed to SUStudentVoice@southwales.ac.uk so that we can remove them from our database, we also request that the new Rep registers with us.
